We understand that plans can change due to unforeseen circumstances. Our cancellation policy is designed to offer you the opportunity to cancel and receive a refund under specific conditions.
Please note that this cancellation policy is displayed here for your convenience but is the same as outlined in our comprehensive Terms and Conditions. By confirming your booking on BlueFlowTravel.com, you acknowledge that you have read, understood, and agree to our website's Terms and Conditions, including this cancellation policy.

 

1. Cancellation by the Customer

We will only consider cancellation requests that follow the conditions outlined below:

Group Tour Cancellation:

  • More than 30 Days Prior: Cancellations made more than 30 days before the tour date are eligible for a full refund.
  • 15 Days to 48 Hours Prior: Cancellations made between 15 days and 48 hours prior to the tour date are eligible for a 50% refund.
  • Less than 48 Hours Prior: Cancellations made less than 48 hours before the tour date are non-refundable.

Private Tour Cancellation:

  • More than 30 Days Prior: Cancellations made more than 30 days before the tour date are eligible for a full refund.
  • 15 Days to 72 Hours Prior: Cancellations made between 15 days and 72 hours prior to the tour date are eligible for a 50% refund.
  • Less than 72 Hours Prior: Cancellations made less than 72 hours before the tour date are non-refundable.

Hotels and Transfers (Ferry and Speedboat Transfers):

  • More than 30 Days Prior: Cancellations made more than 30 days before the tour date are eligible for a full refund.
  • 15 Days to 48 Hours Prior: Cancellations made between 15 days and 48 hours prior to the tour date are eligible for a 50% refund.
  • Less than 48 Hours Prior: Cancellations made less than 48 hours before the tour date are non-refundable.

Peak Period Cancellation Policy (Group and Private Tours):

For bookings made between 15th December to 15th January (Christmas and New Year peak period) or 12th to 16th April (Thai New Year/Songkran), the following cancellation policy applies for both group and private tours:

  • More than 30 Days Prior: Cancellations made more than 30 days before the tour date are eligible for a full refund.
  • 15 Days to 7 Days Prior: Cancellations made between 15 days and 7 days before the tour date are eligible for a 50% refund.
  • Less than 7 Days Prior: Cancellations made less than 7 days before the tour date are non-refundable.

Medical Cancellations:

Medical reasons will not be accepted as a valid cause for cancellation outside of the free cancellation period. We strongly recommend having appropriate travel insurance to cover such situations.

How to Cancel:

  • Cancellation requests must be submitted in writing via email to our customer service team.
  • If a cancellation request is made via phone call or any messaging app, you will be asked to submit the request through email to ensure proper processing.
  • The date of cancellation will be considered as the date we receive your written notification.
 

2. Cancellation by Blue Flow Travel

Right to Cancel:

We reserve the right to cancel tours due to unforeseen circumstances such as, but not limited to, adverse weather conditions, safety concerns, insufficient participation, or cancellations by our tour providers.
During high and peak seasons, when demand is exceptionally high, we may occasionally face overbooking situations due to the instant confirmation system on our website. In such cases, we may need to cancel your booking.

Notification:

In the event of a cancellation by us or one of our tour providers, We will do our best to notify you as soon as possible using the contact information provided at the time of booking and provide suitable alternatives where available.

Refunds and Rescheduling:

If your tour is canceled, you will be offered the option to reschedule or receive a full refund of any payments made.

 

3. No-Shows and Late Arrivals

No-Shows:

Failure to arrive at the designated meeting point at the scheduled time will be considered a no-show. Any notifications of late arrival or inability to attend must follow our modification or cancellation terms. No refunds will be issued for no-shows, regardless of notification if the required notice period is not met.

Late Arrivals:

Late arrivals may miss the tour departure. It is your responsibility to arrive on time; refunds will not be provided for missed departures due to lateness. We recommend arriving at the meeting point at least 30 minutes before the scheduled departure time, as indicated on your booking voucher, which is sent with your booking confirmation.

 

4. Changes to Bookings

The following terms apply to all types of bookings made on the BlueFlowTravel.com, including group tours, private tours, transfers, and hotels. We aim to provide flexibility and accommodate your needs wherever possible.

Advance Notice Change Requests:

  • More than 48 Hours Prior: We will review availability and process your change request, subject to availability.
  • Less than 48 Hours Prior: For last-minute changes, please contact us via phone or WhatsApp, and we will do our best to accommodate your request, subject to availability.

Amendments by the Customer:

Requests to change your booking (for example, tour date, number of participants) must be made in writing via email. Changes are subject to availability and may incur additional costs.

Fees for Changes:

While we do not charge a fee for modifications, any additional costs that arise as a result of amendments will be your responsibility.

Modification by Blue Flow Travel:

We reserve the right to adjust tour itineraries due to unforeseen circumstances, with a commitment to notify customers of any changes.

 

5. Unforeseen Circumstances (Force Majeure)

Unforeseen Closures of National Parks

Occasionally, national parks such as Maya Bay or Bamboo Island may close unexpectedly due to environmental protection measures or other considerations, sometimes without prior notice. These closures are beyond our control, and access may be restricted by authorities pulling a red flag to indicate no entry. In such cases, we will adjust the tour itinerary as best as possible but cannot guarantee access to these sites or issue refunds solely due to park closures.

Events Beyond Control:

We are not liable for cancellations or changes due to events beyond our control, such as natural disasters, pandemics, or government actions.

Refunds in Force Majeure Events:

Refunds or rescheduling in such cases will be at our discretion and may be subject to administrative fees.

 

6. Refund Process

Processing Time:

Refunds will be processed within 7 business days after the cancellation has been confirmed in writing via email.

Method of Refund:

Refunds will be issued using the original method of payment unless an alternative arrangement has been agreed upon.

 

7. Third-Party Services and Special Conditions

Your booking may include services provided by third-party suppliers, whose terms and conditions, including cancellation policies, will apply. Any differences from our policy will be clearly indicated on the relevant product page. Please note that we are not responsible for any third-party charges incurred due to cancellations.
In addition, we, or our suppliers, reserve the right to cancel your booking if our terms are not respected. This includes, but is not limited to, cases involving attempts to board with pregnant women, elderly individuals, people with certain physical conditions, or infants. Cancellations in such cases will be at our discretion.
